What you will be doing…..

  • Collecting and preparing materials, presentations, and information for meetings.
  • Gatekeeper of Senior Finance Leadership team priority listing.
  • Attend meetings and take minutes.
  • Assisting with special projects or events.
  • Composing and distributing company memorandums.
  • Arrange travel for the CFO and Finance and Accounting leadership team as needed.
  • Point person for maintenance, mailing, shipping, supplies, equipment, bills, and errands.
  • Manage relationships with vendors, service providers, and landlords, ensuring that all items are invoiced and paid on time.
  • Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement, layouts, and office systems.
  • Organizing maintenance companies to keep the office clean and safe and ensure its appliances are in good working order.
  • Partner with HR to maintain office policies as necessary.
  • Coordinate with IT department on all office equipment.

Key Skills you need to bring to the table…..

  • Well-written and strong communication skills (interpersonal, written, listening, and verbal).
  • Thorough knowledge of Microsoft Office (Outlook, Excel, PowerPoint, and Word).
  • Experience creating PowerPoint presentations for business stakeholders.
  • Comfortable with taking initiative with little direction.
  • Self-motivated, proactive, and creative solution seeker.
  • Attention to detail, organization, and time management skills.
  • Must have a professional demeanor with a high level of tact, integrity, and flexibility.
  • Ability to maintain confidentiality during involvement with proprietary/confidential matters.
  • Experienced in managing multiple projects or assignments simultaneously.
  • Associate’s degree in a related field or equivalent experience.
  • 3-7 years of experience as an executive assistant supporting multiple top-tier managers.
  • Ability and willingness to travel as needed.
  • Proficiency in Microsoft Office (Outlook, Excel, PowerPoint, and Word)
