What you will be doing…..
- Collecting and preparing materials, presentations, and information for meetings.
- Gatekeeper of Senior Finance Leadership team priority listing.
- Attend meetings and take minutes.
- Assisting with special projects or events.
- Composing and distributing company memorandums.
- Arrange travel for the CFO and Finance and Accounting leadership team as needed.
- Point person for maintenance, mailing, shipping, supplies, equipment, bills, and errands.
- Manage relationships with vendors, service providers, and landlords, ensuring that all items are invoiced and paid on time.
- Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement, layouts, and office systems.
- Organizing maintenance companies to keep the office clean and safe and ensure its appliances are in good working order.
- Partner with HR to maintain office policies as necessary.
- Coordinate with IT department on all office equipment.
Key Skills you need to bring to the table…..
- Well-written and strong communication skills (interpersonal, written, listening, and verbal).
- Thorough knowledge of Microsoft Office (Outlook, Excel, PowerPoint, and Word).
- Experience creating PowerPoint presentations for business stakeholders.
- Comfortable with taking initiative with little direction.
- Self-motivated, proactive, and creative solution seeker.
- Attention to detail, organization, and time management skills.
- Must have a professional demeanor with a high level of tact, integrity, and flexibility.
- Ability to maintain confidentiality during involvement with proprietary/confidential matters.
- Experienced in managing multiple projects or assignments simultaneously.
- Associate’s degree in a related field or equivalent experience.
- 3-7 years of experience as an executive assistant supporting multiple top-tier managers.
- Ability and willingness to travel as needed.
- Proficiency in Microsoft Office (Outlook, Excel, PowerPoint, and Word)
