Recruiting / Admin Assistant (open ended contract to start immediately) – Houston

 

We are currently hiring a Recruiting / Administrative Assistant on a temp basis for a very fast paced office environment. We are looking for a self-starter with the ability to multitask. A great attitude is a must for this sales environment!!! We also looking for someone, who could possibly grow into a future Staffing Manager role.

 

 

 

Administrative Duties

 

  • Payroll for Temporary Staffing Division

 

 

  • Complete processing for temporary placements in database

 

 

  • Email confirmation letter to client and temporary employee

 

 

  • Update Payroll Set-up Form

 

 

  • Submit payroll hours to Corporate

 

 

  • Handle all billing upon receipt of payroll pack

 

 

  • Handle all payroll filing

 

 

 

  • Billing and Collections

 

 

  • Maintain proper files of invoices/timesheets

 

 

  • Review AR reports weekly – notify staff of necessary AR follow up

 

 

  • Make collection calls as needed

 

 

 

 

  • Database  maintenance

 

 

  • Update company industry codes

 

 

  • Assist with cleaning up database after e-blast efforts

 

 

  • Enter all Job Orders into database

 

 

 

 

Sales Support

 

  • Sales Support

 

 

  • Set-up client folders for office visits

 

 

  • Send business cards/note cards

 

 

  • Sourcing calls – gather new contact names at companies & add to database

 

 

  • Generate and track leads gathered from candidate ‘reboot’ calls

 

 

  • Create Ad Lead Sheet daily

 

 

 

 

Recruiting Support

 

  • Executive Recruiter Support

 

 

            a.   Build lists of names from searches

                  b.   Assist with posting ads as directed

                  c.   Perform reference checks as assigned

                  d.   Perform credit and education background checks on all placed candidates.

 

  • Staffing Manager Support

 

 

            b.   Assist SM with posting ads and contacting new candidates to schedule interviews

            c.   Conduct reference checks as assigned

            d.   Keep log of all reference names from SM interviews            

                  e.   Contact inactive candidates to help update database and gather sales leads
